A monthly SEO report template is a ready-to-fill outline for reporting SEO results to a client every month. The Recalytics template is a 3-page A4 Word file with 7 sections and a checklist.

Agencies that are new to reporting often build the report from scratch every month, so its order and content keep changing. This guide on how to use the SEO report template explains each section, its data source and the checks before sending.

Where can you download the SEO report template?

The monthly SEO report template is a free Word download at [blog.recalytics.com/unduh/monthly-seo-report-template.docx](https://blog.recalytics.com/unduh/monthly-seo-report-template.docx). The file opens in Microsoft Word, Google Docs or LibreOffice.

The grey italic text in the template is guidance. Delete it once the section is filled.

What are the 7 sections of the template?

The template has 7 sections: executive summary, clicks and impressions, top pages and queries, organic conversions, work this month, technical issues and next month's plan. Each section has a clear data source.

1. Executive summary3 sentences: main result, cause, next actionAll other sections
2. Organic clicks and impressionsClicks, impressions, CTR, position, non-brand clicksSearch Console, Performance report
3. Top pages and queriesThe 10 pages and 10 queries with the biggest click changesSearch Console, Pages and Queries tabs
4. Organic conversionsOrganic sessions, key events, key event rate per sessionGA4, Traffic acquisition report
5. Work this monthEvery change to the site with its dateTeam notes
6. Technical issuesPages not indexed, poor Core Web Vitals URLsSearch Console, Page indexing and Core Web Vitals
7. Next month's plan3–5 actions with a target number and an ownerTeam and client

Section 1 is written last, once the numbers in sections 2 to 6 are in. Writing it is covered in the guide to the SEO report executive summary.

When do you pull the data for the template?

Pull the data around the 4th of each month, because Search Console data is only complete 2–3 days after it is collected. Data pulled on the 1st can miss the last days of the previous month.

Compare each number with last month and with the same month last year. The year-on-year comparison holds back seasonal effects, such as the year-end holidays.

Export last month's numbers from Search Console and GA4.

Fill numbers · Sections 2 to 6

Fill the tables and the change columns for each metric.

Give one sentence on the cause of each big change, backed by data or the work log.

Summary · Section 1

Check · Checklist

Match every number in the text with its source before sending.

What is in the checklist before sending?

The checklist holds 6 checks that keep the numbers, periods and plans in the report consistent. The checklist sits on the last page of the template.

  • The numbers in the text match the data source exactly.
  • Every comparison period has the same number of days.
  • Every chart states its source and date range.
  • Every change over 10% has one sentence on its cause.
  • Every action has a target number and an owner.
  • Terms such as CTR and average position are explained once.

The terms to explain to clients are collected in the SEO glossary.

When should the template give way to an automated report?

A manual template suits 1–3 clients, because each report takes time to pull and copy data. More clients add to the time spent pulling data every month. A fuller report structure is covered in the guide to the monthly SEO report.

Recalytics fills the same sections automatically from each client's Search Console and GA4, including targets, Core Web Vitals and the dated work log.
